My operating system is Windows 2000, my e-mail is Outlook (NOT Outlook Express).
I wish to automatically sent to all incoming e-mail a reply with a message of mine indicating that I am out-of-office for a particular period and will reply when I get back.
The steps that I have followed so far (based on the murky instructions in various Windows manuals) are these:

-- Go to Rules Wizard
-- Go to Apply Rules in the Following Order and set "Check Messages when they arrive"
-- Go to Which Conditions do you wish to check and set "when received through the receiving account".
-- Check "specified account" in the box below.
-- Check my account when it appears
-- Check the box marked "Reply using a specific template"
-- Click on "specific template" that appears in the lower box.
Here's where the problem begins. I get a box that says "look in: standard template/User templates in file system Leaving that box on "standard template". If I click on "open" I get "C\Program Files Microsoft\ Mail Office templates 1103 / mail office" but I've never had a chance to enter my message or to see the template I've supposedly selected.
IN SUM: IT"S THE LAST STEP OF SEEING THE TEMPLATE AND GETTING TO ENTER MY MESSAGE THAT I CAN"T MANAGE. apart from having to leave your PC always on, I am not even sure such thing is possible from Outlook or Outlook Express.
The easiest way is to set-up the in-box folder directly on the mail server. So, when a mail arrives in the server, the server itself replies, and your PC can stay safely turned off all the time.

The fact that tools got me as far as it did (but not the last step) suggests that autoreply is possible from Outlook, and one of my manuals gives the instructions for outlook express. I realize if I used something like Yahoo I could use its autoreply function, but my e-mail is tied up with Outlook and my Internet service provider (Verizon). Thanks anyway. Since I don't use Outlook, my Outlook does not show the function, but the help-function says (my program is Finnish, I try to translate the essentials):
Go to Tools > out of office mode control. Choose Out of office. Write the message into the field "Answer once to each sender.
Hope you find it. I used this function years ago, but nowadays I always configure my server and keep my pc switched off when I'm away.

You need to create a template first. You can do this by creating an email and then saving it as an Outlook template (*.oft). Then you can select this template while creating the rule. At least this is how it works in Outlook 2007.
As Gianni has already pointed out, this will only work if you leave your PC on with Outlook running, because Outlook will have to download your email from the mail server before it can apply any rules to it. The only way to have it ... See more Hi Thomas,

As Gianni has already pointed out, this will only work if you leave your PC on with Outlook running, because Outlook will have to download your email from the mail server before it can apply any rules to it. The only way to have it work without Outlook running is if you have your own Exchange server, which you probably don't have, because then the Out-of-Office Reply option would have been available in your Tools menu.

I fear that none of these seem to fit the bill. Again, please remember that this is Windows 200 Professional and the corresponding OUTLOOK.

Have you checked the "Save as type" field? This is where you should be able to select the "oft" file type.

..but I'm back where I started. Going through the steps, and arriving at a the final stage of "select template" clicking on "Open" just gets me a box listing the name of the template, without actually providing the template for me to fill in.

It could work if your computer was a part of a corporate network and your company was using MS Exchange server, but as it is I am afraid that you are wasting your time and instead should try to set you mailbox using functions provided by the service provider.

I had thought that an "out of office" automatic reply on Outlook was just a tantalizing few clicks away (keeping the computer on all the time is no problem -- I have a voltage protector), but clearly it is not and thus I will simply e-mail my outsourcers telling them of my absence.
